• Use IMAP (recommended) to sync email across all devices
Android (Outlook or Gmail App)

Outlook:

  1. Open Outlook app (If this is your first account Click Add Account Skip to Step 3)
  2. Click Profile (Top left Icon) Settings (Bottom left gear Icon) Accounts → Add Account → Add Email Account
  3. Enter your Email address, then click Continue
  4. (If it asks Click “Set Up Manually”)
  5. Select IMAP (Sometimes Other IMAP)
  6. Toggle Advanced Settings
  7. Enter IMAP Host Name: mail.yourdomain.com
  8. Port: 993
  9. IMAP Password: (This is your email password)
  10. Security Type: SSL/TLS
  11. Enter SMTP Host Name: mail.yourdomain.com
  12. Port: 587
  13. SMTP Password: (This is your email password)
  14. Security Type: StartTLS
  15. Click Next (Top right check Icon)

Gmail:

  1. Open Gmail app (If this is your first account Click Add an email address Skip to Step 3)
  2. Click Profile (Top right Icon) Add Another Account
  3. Select Other
  4. Enter your Email address
  5. Click Manual Setup
  6. Select IMAP
  7. Enter your Password Next
  8. Server: mail.yourdomain.com (Username is your Email addresss) Next
  9. SMTP Server: mail.yourdomain.com
  10. Click Next
iPhone / iPad (iOS)
  1. Go to Settings → Mail → Accounts → Add Account
  2. Choose Other → Add Mail Account
  3. Enter your name, full email address, password, and description
  4. Tap Next – iOS will try auto-discovery
  5. If auto-setup fails, choose IMAP, enter mail.yourdomain.com for both incoming and outgoing servers
  6. Use ports: IMAP 993 (SSL), SMTP 587 (STARTTLS)
  7. Save and test sending/receiving
Microsoft Outlook (Windows/Mac)
  1. Open Outlook (If this is your first account skip to step 3)
  2. Go to File → Add Account (Sometimes File → Settings Accounts Add Account)
  3. Enter your email address
  4. If it does not auto choose IMAP, then Select IMAP (Note: if it auto chooses incorrectly then Click Select Provider → IMAP)
  5. Enter Password → Toggle Show More
  6. Enter IMAP Incoming server: mail.yourdomain.com Port 993 Secure Connection Type: SSL/TLS
  7. Enter IMAP Outgoing server: mail.yourdomain.com Port 587 Secure Connection Type: STARTTLS
  8. Enter SMTP Username:(Your Email address)
  9. Enter SMTP Password: (Your Password)
  10. Click Continue
Mozilla Thunderbird
  1. Open Thunderbird → Account Settings → Account Actions → Add Mail Account
  2. Enter your name, full email address, and password
  3. Click Configure manually
  4. Set IMAP: mail.yourdomain.com Port 993, SSL/TLS
  5. SMTP: mail.yourdomain.com Port 587 STARTTLS
  6. Username: your full email address
  7. Click Re-test → Done
Samsung Email (Galaxy Phones)
  1. Open the Samsung Email app (blue envelope icon — NOT Gmail)
  2. If this is your first account, skip to Step 3. Otherwise tap ☰ Menu → Settings → Add Account
  3. Select Other (do NOT select Gmail, Yahoo, or Outlook.com)
  4. Enter your full email address and password → tap Manual Setup
  5. Select IMAP Account
  6. Incoming server: mail.yourdomain.com
  7. Security type: SSL/TLS → Port: 993
  8. Tap Next
  9. Outgoing SMTP server: mail.yourdomain.com
  10. Security type: STARTTLS → Port: 587
  11. Make sure Require authentication is ON
  12. Tap Next → Set sync frequency and display name → Done
Apple Mail (Mac)
  1. Open Mail → Click Mail in the menu bar → Add Account
  2. Select Other Mail Account → Click Continue
  3. Enter your name, full email address, and password → Click Sign In
  4. If auto-discovery fails, you will see the manual settings screen
  5. Set Account Type: IMAP
  6. Incoming Mail Server: mail.yourdomain.com
  7. Outgoing Mail Server: mail.yourdomain.com
  8. Click Sign In — Mac Mail will connect and verify
  9. If prompted for ports: Incoming 993 (SSL/TLS), Outgoing 587 (STARTTLS)
  10. Check Mail is selected → Click Done
Windows Mail / New Outlook (Windows 10/11)

New Outlook (Windows 11 / Windows 10 update):

  1. Open Outlook (the new version) → Click the gear icon (Settings)
  2. Click Accounts → Add Account
  3. Enter your full email address → Click Continue
  4. Select IMAP
  5. Enter your password
  6. IMAP Incoming server: mail.yourdomain.com → Port 993SSL/TLS
  7. SMTP Outgoing server: mail.yourdomain.com → Port 587STARTTLS
  8. Click ContinueDone

Windows Mail (legacy — being replaced by New Outlook):

  1. Open Mail app → Click Accounts (left sidebar) → Add Account
  2. Scroll down and select Advanced Setup
  3. Select Internet Email
  4. Fill in: email address, username (full email), password, account name
  5. Incoming server: mail.yourdomain.com
  6. Account type: IMAP4
  7. Outgoing server: mail.yourdomain.com
  8. Check all four boxes: Outgoing requires auth, Use same credentials, Require SSL for incoming, Require SSL for outgoing
  9. Click Sign In

Try changing SMTP/Outgoing Port to 465

Email still not working?
Double-check that your username is your full email address (not just the part before @) and that your password is correct
